To Setup Your Your SmartPhone

Please note: This is a generic tutorial that will work with any Smart Phone including the iPhone and Android phones.
The specific steps and terminology may be different than your phone prompts as software differs from phone to phone. However, the information contained here will work for any device.
Protocol choices
Most phones have 3 email protocol types from which to choose. Read through the choices below and then decide which protocol you want to use to add your account to your phone.
ActiveSync Exchange
ActiveSync Exchange (also known as Corporate): If your phone will support ActiveSync Exchange, then we highly recommend you choose ActiveSync for your account.
ActiveSync is a technology that pushes email directly to your phone whenever you receive a new message. "Push technology " means that your phone isn't actively checking your email account every few minutes and draining the battery. Instead the server "wakes up" your phone when you actually receive an email and "pushes" the message to your phone. Exchange ActiveSync will drastically increases the battery life of your phone.
ActiveSync also Syncs your email, which means everything is still left on the server so you can use webmail on your phone, another computer, even multiple computers or phones at the same time with all of the devices having have access to the same data.
ActiveSync also Syncs much more than just your mail. Most devices also allow you to sync the Contacts and Calendar of your email account with your phone.
If your phone does not allow the synchronization of folders, contact, or calendars via ActiveSync, or forces you to access those items via the e-mail system menu, you may want to consider a 3rd party program for your smartphone e-mail service. ChicagoNetTech recommends TouchDown from Nirtodesk.

IMAP
IMAP: is a protocol that allows you to Sync your email with the server, which means everything is still left on the server so you can use webmail or another computer at the same time and have access to the same data.
IMAP requires you to set an interval to check your mail. While this may work great for Desktops and Laptops it can quickly drain the battery on your phone.
IMAP only syncs Mail. IMAP does not sync Contacts or your Calendar.
POP
POP (Not Recommended): POP is a protocol that downloads the messages to your device, which means that the messages are REMOVED from the server and cannot be put back easily. If you use POP and then connect to your server through WebMail or another computer you will find that all of your messages are gone and have been transferred to your phone.
MAIL SETTINGS
Your Mail Settings: The following settings will work for almost any phone/device:
Mail Server: securemail.chicagonettech.com
Username: your FULL e-mail account
Example: if your email account is joe@mywidgets.com then your Username is: joe@mywidgets.com
Password: This is your e-mail password. The same one you use to login to WebMail or on other computers to check mail.
Domain (only applies to ActiveSync): Your domain is the part of your e-mail address which appears after the @ sign. In the example the e-mail address of: "joe@mywidgets.com," the domain is: "mywidgets.com" without the quotes.
Please note: Some smart phones and tablets require you to remove the domain from your username. If you encounter connectivity problems when setting up your Exchange ActiveSync account, try entering the username with and without the domain name portion.
You may also have to enter your full email address for your Username and leave the domain empty. Our e-mail server will work either way but your phone/device may only like one or the other.
If you use securemail.chicagonettech.com as your mail server name you can run SSL and/or TLS.
SSL/TLS is always preferred and, in fact, if you are in the Insurance, Banking, or Healthcare industries you MUST be running SSL/TLS on all of your e-mail and devices. For healthcare facilities, this is a requirement of the HITECH portion of the HIPAA regulations. Other industries are covered by Sarbanes-Oxley or other regulations and requirements.
SERVERS
- For SSL / TLS connections: use securemail.chicagonettech.com as your server.
- For NON-secure communications, not recommended, use your domain as your server. Append "mail" to the beginning of your domain name. IE: mail.yourdomain.com
- Example: If your domain is chicagonettech.com, then your server will be mail.chicagonettech.com.
- Example: If your domain name is myuniversity.edu, then your server will be mail.myuniversity.edu.
PORTS
The following ports are applicable to different installations so please pay attention and make certain you are using the right port for your device and e-mail protocol:
- POP: 110 - for both general and TLS
- SMTP - NON SSL - 587
- IMAP - 143 - all users, secure and non-secure
- LDAP - 389
- SMPT SSL - 465
- SMTP TLS - 587
- IMAP SSL - 993
- POP SSL - 995
- Server Port (for IMAP only): 143
- Server Port (for POP only): 110
